You will receive an email post-shoot when costs are ready for approval. Clicking the link in the email will open a screen showing the breakdown for all your talent on the same screen. You will also be able to view a digital copy of the sign-in sheet from this screen so that you can verify overtime/loading calculations. 
 

If you have missing payroll details for talent, you will also be notified on this screen so that you can ensure all the information is completed and ready for payment. 
 

 If the cost breakdown is correct, you can ''Approve'' to confirm the expected payment amount. If you believe the cost is incorrect - for example, if production has promised a parking reimbursement or the like, or we have allowed for travel days or police checks that did not go ahead, you can click ''Request Changes'' to send a message to the Talentpay producer and accounts team. Your request will be reviewed and either accepted or rejected - if the request is rejected you will be provided with an explanation so that you can request further review if you believe the reasoning is incorrect. 
 

Agents may still submit an invoice to the accounts team if you wish, but this will no longer be necessary - the approved costs will be paid even if no invoice is received.  

 
Talentpay will send you an email notification once the talent costs are ready for approval. To approve or request changes, please follow the steps outlined below: 


  1. Click on the “View Talent Cost” button in the email. You will be taken to the Talentpay portal, you may be asked to login with your Talentpay username and password. 

  2. Once you are in your Talentpay account this will take you straight to the cost approval screen. See image below.

Approving Costs 


  1. To approve costs, select the row(s) by clicking in the checkboxes.

  2. The green “Approve Selected” button will become enabled.

  3. Clicking this will change the status to Approved as shown below. Talentpay will now start processing these approved lines for payments.

  4. If there are any talents with incomplete profiles, they will be flagged as below. Please click the talent’s name to open their profile and complete the missing fields on the personal and financial tabs, so payments can be made

  5. When approving the costs of a talent with the above flag, you will first be prompted with the warning below.

  6. Clicking ''Yes'' will still approve the costs; however, payments cannot be made until the required information is completed on the talent profile 

  7. Clicking ''No'' will close this prompt and allow you to complete the profile. 

  8. You can review the sign in sheets for all your talent by clicking the “View Sign in Sheets” button at the top or for individual talents from the context menu on each row (see below)

Requesting Changes 


  1. To request a change, select the row(s) by clicking in the checkboxes. 

  2. The “Request Changes on Selected” button will become enabled.

  3. Clicking this will open the following window where the change request can be entered for each selected talent.

  4. If the request is the same for all talent, enter it in the first text box and tick the “Apply to all” checkbox. This will copy the text to all other talents. 

  5. If additional changes are needed for some talent, then untick the “Apply to all” checkbox to enable the fields for editing further.

  6. Clicking submit will change the status for those rows to change requested as shown below. The Talentpay Producer will contact you offline (if needed) to discuss the change request.

  7. Once your change request is reviewed by the talentpay Producer, you will receive an email with the decision and the status indicator on the above screen will have a CR next to it. If you hover over that it’ll display text advising to view the history log for details of the decision.

  8. You can view the approval history for each talent cost line by clicking on the context menu as shown below. This history log is especially useful for viewing changes that were requested.

  9. Clicking this menu option will open the approval history screen as shown below.

Tracking Payment Progress  


  1. To check if payments have been processed for any job, you can click on the “Cost Approval Monitoring” button on the main navigation menu at the top as shown below. This will open a screen showing all of your jobs with the status of cost approvals for each of your talent on that job

  2. From this screen you can filter using the filters at the top or from the context menus next to the column headings. 

  3. You can hover over the status-colored bar to display the status. 

  4. Clicking on the job number link will open the Talent Cost Approval screen for that job, where you can start approving talent costs.

  5. For reviewing talent costs for a particular job, you can use the job search feature, open the job summary screen, and then click the “Talent Cost Approvals” button as shown below. (see the “job Search” help guide on how to find a job”).

  6. Once payment processing has commenced, the Status and Reference columns will be updated as shown below. You can use this reference number to contact us to follow up on payments.
